Running a small business means being the quality system, the process manual and the filing cabinet all at once. It works, because you know how everything is meant to go. It also means the business cannot grow past what you can hold in your head, and the admin follows you home.
What’s eating your week
Quoting. Quotes take too long, they come out inconsistent, and nobody is quite sure whether the last one made money. Usually the highest value thing to fix.
Job handover. Work reaches the person doing it missing half of what the customer actually agreed. Everything after that is rework dressed up as a normal day.
Chasing paperwork. Records, sign-offs and invoices assembled at the end from whatever can be found, instead of falling out of the job as it happens.
Doing it twice. The same details typed into a quote, a job sheet and an invoice. Not the biggest cost, but the one that wears people down. Good staff rarely leave over pay alone. They leave because you hired them for skilled work and they spend Thursday copying numbers between two screens.
Putting AI on the boring jobs
This is the part that has actually changed in the last couple of years, and it has changed most for businesses your size. Jobs that used to mean sitting down at the computer can now be handed over: reading a supplier invoice and pulling the details out, sorting the inbox and flagging what needs you, drafting a quote from a site note, chasing the customer who has not paid, writing up the notes you dictated in the ute.
What those have in common is that they are repetitive, they need reading or writing rather than judgement, and you can tell in a few seconds whether the answer is right.
Two things we insist on. We fix the job before we automate it, because automating a mess just produces the mess faster. And we set it up so you can see what it did, because handing over work you cannot check is not a saving.
Where a plain rule does the job, we build that instead. It is more reliable than a model and it costs less to run.
One thing worth knowing. If your team is under pressure, some of them are already pasting client details into free AI tools to get an email written faster. Most owners find this out by accident. Part of what we set up is a way for people to use AI without your client data ending up somewhere you cannot see it. We are ISO 27001 Lead Implementer trained, so this is a part we take seriously.

Where you are now

Is AI actually going to help a business my size?
For some jobs yes, and for others it is the wrong tool and we will say so. It is good at reading things, sorting things and drafting things. It is not good at work where being wrong occasionally would cost you a customer. Picking the right jobs is most of what we do.
Do I need to buy software?
Almost never. Most small businesses already pay for more than they use. We would rather make what you have work properly than add another subscription you forget you are paying for.
What if I am not technical?
Most of our small business clients are not. You do not need to understand how any of it works. You need to know what it does, what to do when it goes wrong, and who to call. That is what we hand over.
