Design the process, then put it where people will find it
Redesigning how work gets done, documenting it in your language, and making every approved process reachable in a click.
Knowing what is wrong is not the same as fixing it
A review tells you where time, margin and control are being lost. Turning that into work that actually gets done differently is a separate job, and it is the one most improvement programmes underestimate.
The failure is rarely the design. It is that the new way lives in a document nobody opens, so people carry on doing what they did, and within a year the map and the business have parted company again.
What we do
We design from how the work actually runs, workarounds included. Every workaround marks a place where the official route was slower than the real one. Designing without understanding why produces something people route around a second time.
We write it in your language. Processes documented in the terms your team already uses, at a level someone can follow while doing the job rather than while studying it.
We make it findable. An interactive map where every approved process is reachable in a click, from where the work already happens, built in software you already own. This sounds like a detail. It is often the difference between a system that gets used and one that does not. On a recent council programme it meant a fifty person delivery office, most of them recent hires, could reach the right process immediately instead of asking a colleague who might be busy.
We prioritise honestly. Some processes carry real delivery risk and deserve detailed design. Most need enough structure to be consistent and nothing more. Spending on the parts that matter beats a complete process library nobody has time to maintain.
What you receive
Written processes for the priority activities, in your terminology, structured so someone can follow them while doing the job
A one page, one click interactive map making every approved process reachable, built in tools you already own
A prioritised improvement roadmap: what to fix, in what order, with the reasoning for the sequence
What you end up with
Redesigned processes documented in the language your people already use
Every approved process reachable in a click from where the work happens
Consistency that does not depend on the three people who remember everything
A clear line between the processes that got detailed treatment and the ones that did not, and why
If you have not mapped the business yet, start there. A fixed scope facilitated review that maps you end to end, runs an efficiency and a governance lens over it, and produces a costed roadmap of what to fix first. From NZ$4,000 + GST.
Common questions
We already have documented processes. Why redesign them?
Because documented processes describe what was intended. The interesting material is the gap between that and what happens. Every workaround is either a process problem or a training problem, and both are worth knowing about.
Who needs to be involved?
The people who do the work, not only the people who manage it. A process built from management's understanding describes the business as it is believed to operate, which is a different and much less useful document.
How long does it take?
Detailed process work is scoped once the review has told you what is worth doing. That is the point of doing the review first.
What if we just want the map?
That is a legitimate stopping point and some clients do exactly that. The map and the roadmap have standalone value and there is no obligation to continue.
